How to Plan a Month of Content in One Afternoon
a step-by-step guide..
One of the biggest challenges I hear from small business owners is this: “I know I need to post consistently, but I never know what to say.”
The solution isn’t inspiration - it’s a system.
When you sit down and plan your content intentionally, everything gets easier. You stop posting reactively, you show up more consistently, and your content actually works toward your business goals. And the best part? You can map out an entire month in just a few focused hours.
Here’s exactly how to do it.
Step 1: Block the Time (Seriously)
Pick one afternoon per month and protect it. Put it on your calendar like it’s a client meeting. This is your content planning session, and everything else can wait for a few hours.
Step 2: Define Your Content Pillars
Content pillars are the three to five core topics your account consistently covers. For a health and wellness coach, pillars might be mindset, movement, nutrition, and personal stories. For a branding agency, they might be branding tips, client results, behind the scenes, and business advice.
Your pillars keep your content focused and make idea generation infinitely easier, because every post starts with the question: which pillar does this serve?
Step 3: Decide How Often You’ll Post
Be realistic. Posting three times a week consistently is better than posting every day for two weeks and then burning out. Choose a frequency you can actually sustain and build your plan around it.
For a month of content at three posts per week, you’ll need roughly 12-13 pieces of content. That’s it.
Step 4: Fill in Your Calendar
Using your content pillars as a guide, assign a topic to each posting slot. Rotate through your pillars so your content stays varied. Mix formats — carousels, Reels, single images, stories — to keep things dynamic.
Some posts will spark immediately. Others will need a little more thinking. Jot down the idea, even if it’s rough — you can refine it later.
Step 5: Write Your Captions in Batches
Once your calendar is mapped out, write all of your captions in one sitting. Batching is the key — it keeps you in the writing mindset and makes the whole process much faster. Aim for captions that open with a strong first line (since Instagram cuts off captions after one or two lines), deliver value or story in the body, and end with a call to action.
Step 6: Gather or Create Your Visuals
Now that you know what you’re posting, gather your images, graphics, or video content to match. If you have a content shoot coming up, plan your posts around those assets. If you’re using existing content, organize it into a folder that matches your calendar.
Step 7: Schedule Everything
Use a scheduling tool - Later, Planoly, Buffer, or Meta Business Suite - to schedule your posts in advance. When your content is scheduled, it gets posted whether you remember or not. That’s consistency on autopilot.
One More Thing
Planning is a skill that gets easier every time you do it. The first month might take you longer. By month three, you’ll be flying through it.
And if you’d rather hand it off entirely? That’s what we’re here for. Let’s talk about managing your social media.
